Position Overview

Ultimate Staffing Services is actively seeking an experienced Human Resources professional to lead the HR and recruiting efforts for IGE's U.S. and international teams. This role involves full-cycle recruiting, HR administration, and employee engagement to ensure consistent, professional HR processes aligned with company standards.

Responsibilities

HR & Recruiter Lead

Responsible for full-cycle recruiting and HR administration, overseeing sourcing, hiring, onboarding, payroll coordination, employee records, compliance, HR systems, workforce documentation, and ongoing employee support.

I. Recruiting

Manages end-to-end talent acquisition, ensuring timely, organized hiring across all staffing types (full-time, hourly, remote, and temporary).

  • Manage Pinpoint and all job postings (Indeed, LinkedIn, etc.).
  • Source candidates, screen resumes, and conduct phone/video interviews.
  • Coordinate hiring manager interviews and gather evaluations.
  • Prepare and issue job offers; support a smooth transition to onboarding.
  • Collect and manage onboarding documentation; coordinate equipment, systems, and workstation setup.
  • Manage recruiting budgets, job board spend, and performance tracking.
  • Maintain accurate candidate pipelines and recruiting records.
  • Ensure staffing aligns with skills, budgets, and operational priorities across shipping, warehouse, production, design, and onsite roles.

II. HR Administration

Leads HR operations, including employee records, payroll coordination, onboarding/offboarding, benefits support, compliance documentation, and HR systems.

  • Process new hires, employee changes, and terminations in Paychex.
  • Coordinate payroll data, classifications, benefits, and deductions.
  • Manage unemployment claims and labor portals; support annual benefits enrollment.
  • Conduct Workers' Compensation classification audits.
  • Prepare offer letters, acknowledgments, termination checklists, and system access changes.
  • Maintain BambooHR/Pinpoint records, workflows, PTO tracking, and document storage.
  • Keep job descriptions accurate, current, and aligned with compensation and responsibilities.
  • Maintain the Employee Handbook, holiday schedule, and audit-ready HR records.
  • Manage PTO within VOZ ERP and serve as the primary HR contact.

III. Training & Employee Engagement

  • Train new hires on IGE processes, culture, and systems.
  • Support ongoing training for role changes, new software, and process improvements.
  • Conduct monthly 1:1 check-ins with all employees to identify needs, resolve issues, and ensure engagement and alignment.

IV. HR & Recruiting Planning

  • Plan, organize, and manage the full HR and recruiting function.
  • Maintain organizational chart, staffing plans, job descriptions, and hiring forecasts.
  • Manage workforce planning and salary budgeting in Excel.
  • Resolve staffing challenges and support operational alignment across U.S. and international teams.

Required Skills & Experience

  • 3+ years in HR administration and recruiting
  • Experience with Paychex, LinkedIn, and Indeed
  • Knowledge of U.S. labor laws and compliance
  • Strong organizational, communication, and documentation skills

Work Hours

Monday to Friday, 8:00 AM - 5:00 PM
